Refund Policy
Our commitment is to provide you with an unforgettable adventure. We understand that plans can change, and our policy is designed to be as fair as possible while accounting for the commitments we make to our guides, porters, and local partners.
Booking Deposit
To confirm your adventure, we require a **20% deposit** of the total trip cost. This deposit is **non-refundable**.
This deposit allows us to secure necessary permits, book accommodations, and confirm logistics with our guides and crew, many of whom rely on these advance bookings for their livelihood.
Cancellation by the Client
If you need to cancel your trip, the refund amount is based on the number of days before your scheduled departure date. Cancellations must be communicated in writing via email.
Full Refund of Balance
If you cancel more than 60 days before departure, you will receive a full refund of any amount paid, excluding the non-refundable 20% deposit.
50% Refund of Balance
For cancellations made between 30 and 59 days before departure, you will receive a 50% refund of any amount paid, excluding the non-refundable 20% deposit.
No Refund
No refunds will be issued for cancellations made less than 30 days before departure. At this stage, we have fully committed funds to guides, park fees, and logistics.
Other Policy Points
• **Cancellation by Kilele Clan Outdoors:** In the unlikely event that we have to cancel your trip for any reason (e.g., safety concerns, unforeseen circumstances), you will be offered the choice of a full refund (including the deposit) or rescheduling to a future date.
• **Early Departure:** If you leave a trip for any reason after it has commenced, we are not obliged to make any refunds for unused services.
• **No-Shows:** No refunds will be provided if you fail to show up for your scheduled trip departure.
• **Travel Insurance:** We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation and interruption to protect you from unforeseen events.
How to Request a Cancellation
All cancellation requests must be sent in writing to our official email address: bookings@kileleclan.com. Your cancellation date will be the day we receive your written notice.
Please allow up to 14 business days for us to process your refund.
